Overview:

Welcome to the anything but ordinary Hotel Viking, an iconic landmark of Newport hospitality since 1926. Hotel Viking located in the heart of downtown Newport, RI is growing their Sales & Events department. We are seeking the right person to add to this team to enhance the already successful department. We're seeking a creative and detail-oriented Event Sales & Planning Manager to join our team! In this role, you will be responsible for coordinating all aspects of events, from initial planning to execution, to ensure that our guests have an unforgettable experience. The Event Planning Manager acts a liaison between the customer and hotel sales person to provide direction and supervision during execution of meeting and banquet functions or event.


Some specific responsibilities include but are not limited to:

  • Detail and execute flawless social, non-profit, wedding and corporate events
  • Sell and service day meetings and events
  • Prospecting for new clients and leads
  • Possess comprehensive knowledge of food, beverage and décor trends
  • Understand the operational flow of the hotel and service standards
  • Coordinate and facilitate client tastings, pre-cons, planning meetings
  • Create accurate resumes and BEOs per Hotel Viking Standards and attend BEO and Resume Meetings
  • Upsell food and beverage to assist in overall revenue
  • Create accurate floor plans
  • Fulfill day of the event duties
  • Maintain accurate client files within approved guidelines
  • Flexible schedule with the ability to work nights and weekends based upon business demands.

Qualifications:
  • Bachelor's degree and/or 2+ years of event planning in high end hotel, catering company, or special event venue experience
  • 1-year food and beverage experience
  • Strong understanding of negotiation and interpretation of contracts
  • Effective leadership and communication skills as a manager
  • Developed business communication skills, both written and verbal
  • Proficient knowledge of computers and Microsoft office
  • Present a professional appearance and confidence
  • Ability to communicate effectively with public and other Team Members
  • Strong time management skills, and ability to work under pressure
  • Experience with major Hospitality Sales CRM systems
  • Require availability to work flexible hours and weekends
  • Exceptional organizational, multi-tasking, written & verbal communication skills
  • Collaborate with all departments and foster team environment
